Phoenix Industry Solutions operates from 7 Hollow Mills Ave, Newmills, Dungannon, Co Tyrone, BT71 4GU. We are a provider of accredited industrial training including forklift operation, workplace safety, machinery assessments, and MEWP training across the UK.

2. Personal Data We Collect

Directly from you: Name, email, phone number, company information, job role, training history, assessment results, certificates, payment details (processed via third-party providers — card details are not retained).

Automatically: IP address, browser type, device information, visited pages, login timestamps, session cookies, security event logs.

From training activities: Registration details, attendance records, competency assessments, certification outcomes, instructor notes.

We use cookies for portal login maintenance, site performance, security functions, preference storage, and traffic analysis via Google Analytics. See our Cookie Policy for full details.

4. How We Use Your Data

We use your data for delivering training services, course registration, certificate issuance, client portal access, contact regarding bookings and renewals, fulfilling legal and accreditation requirements, website improvement and security, and customer service. We do not sell or rent your personal information.

5. Legal Bases for Processing

We process data based on contractual necessity (training provision), legal obligation (safety/compliance/accreditation), legitimate interests (service improvement/security), and consent (optional marketing).

6. Data Sharing

We may share data with accreditation bodies (ITSSAR, IPAF, others), instructors/assessors, payment processors (encrypted/secure), security/anti-spam tools, hosting providers, and spam detection services. We do not share data with advertisers.

7. Data Retention

• Training records: 3–7 years (accreditation/compliance)
• Portal accounts: until deletion requested
• Contact enquiries: 12 months
• Website logs: 30–180 days (security auditing)

8. Your Rights

You have the right to access your personal data, request corrections, request deletion (“right to be forgotten”), request data copies, object to processing, and withdraw consent (marketing).

9. Data Protection Measures

We use SSL encryption, secure hosting, access controls, firewall/malware protection, regular security monitoring, and portal password protection. Only authorised staff/trainers access training records.

10. Data Storage Location

Data is stored on secure UK or EU servers, encrypted cloud backups, and accrediting bodies' secure systems (when required). No transfers outside UK/EU without adequate safeguards.

12. CertPal Mobile App

This section covers the CertPal mobile app. The sections above cover our website.

What we collect:

• Your name, email address and phone number
• Your company or employer, where provided
• A photograph of you, where one is supplied for your licence card
• Your training records, including course details, certificate numbers, issue dates and expiry dates
• Driving licence number - where a course requires it, such as Driver CPC, so that training can be recorded against the correct driver record with the relevant awarding or regulatory body
• A unique account identifier used to link your records to your account

Why we collect it: We use this information to create and manage your account, to issue and display your training certificates, and to remind you when a certificate is approaching expiry. We do not use it for advertising, we do not sell it, and we do not share it with advertisers or data brokers.

Where it is stored: CertPal uses Google Firebase to store data on our behalf. Data is held in Google's London region.

Deleting your account: To delete your account, open the CertPal app, go to Settings and tap Delete account. You will be asked to confirm. This permanently removes your login, your contact details, your profile photo and your access to the app.

As a training provider we are required to keep a record of who has been trained, on what, and when. Your training record is therefore retained for as long as we are required to hold it for accreditation and compliance purposes, even after your account is deleted. That record is held by the training provider who issued it.

Your rights: You have the right to request a copy of the personal data we hold about you, to have it corrected, and to have it deleted where we are not required to keep it. Contact us using the details below.
